You can create your recipient copies immediately and delay the eFile until March 31. You can also make any changes you require before you eFile with no additional costs.
With scheduled eFiling, even if you aren’t able to check TIN and name combinations before creating the forms, you can check with them and update the information before the eFiling occurs. That gives you several weeks to contact any vendors with mismatched data before eFiling.
How do I schedule the eFile?
While selecting the forms to create during check-out, select the button that says “Schedule All Vendor eFile.” You can also schedule an individual vendor for eFiling by using the schedule button in their actions row. Once you click either button, choose the date you wish the eFiling to occur from the calendar. We send the eFile beginning on 12:01 a.m. EST on the date you select. You can delay the eFiling to as late as March 31st.
Collect your vendors’ W-9’s online. They update the form and sign electronically, and any changes will automatically apply to their vendor profile.
We will store the W-9 as a PDF on your vendor’s record, so you have easy access to the documentation if you need it in the future. Once you’ve gathered the W-9 information, you can use our TIN Matching service to compare the information provided to the IRS database.
How is the W-9 form at Tax1099.com different from the one that IRS provides?
The forms are identical. However, Ours can be completed online with an electronic signature, which enables your vendor to complete the information as long as they have access to a computer, tablet, or phone, rather than needing a printer/scanner/fax machine or to come to your office in person.
What information do I need in order to send a W-9 to my vendor?
You only need the name and email address of the vendor to request a W-9. If you have the physical address, you can add that as well.
